Two licensing models exist. All Employee pricing requires a licence for every person on your payroll and is the cheaper per head option. Flexible User pricing costs materially more per user but lets you licence only the people who need access.
We model both against your actual headcount before you buy anything, because the break-even point moves depending on how many non-desk staff you employ. A 60 person manufacturer with 15 office users usually lands on flexible pricing. A 40 person services firm where everyone needs email and chat almost always lands on all employee. Getting this wrong costs real money every year.
The rollout itself runs in waves. Wave one is normally CRM plus Mail, Cliq and WorkDrive, because that group delivers visible value fast and teaches people the shared navigation. Wave two adds the money apps, Books and Expense, or the service apps, Desk and Assist. Creator applications and Analytics dashboards come last, once the underlying data is trustworthy.
Underneath it all sits Zoho Directory, which handles single sign-on, user provisioning, security policies and app assignment from one console. Questions about Zoho One Implementation
Do we have to use all fifty apps?
No, and you should not try. Most companies actively use six to ten. The rest sit available at no extra cost for when a need appears. We only configure what has an owner and a purpose, because an unconfigured app that people stumble into causes more confusion than not having it.
What if we already use Zoho CRM standalone?
Your existing CRM org can usually be brought under a Zoho One subscription without losing data or configuration, and remaining CRM licence value is generally adjusted. We verify the specifics with Zoho for your account before you commit, since the treatment varies by contract and renewal date.
Is Zoho One suitable for a 200 person company?
Yes. Zoho One scales comfortably into the several hundred user range, and larger organisations run it too. Above roughly 250 users you should plan governance properly, with a named platform owner, a change process and controlled admin access, otherwise configuration drift becomes a real problem.
How do you avoid overwhelming our staff?
Waves and role-based training. A warehouse supervisor never sees the CRM screens, and a salesperson never sees Books. Each group gets a short session covering only the tasks they actually perform, plus a one page reference. Broad all-staff demos of the whole suite are the fastest way to lose people.
