Zoho Books was built for Indian compliance rather than adapted for it. e-Invoicing, e-way bills, GSTR-1 and GSTR-3B, TDS and TCS are native. We configure it so filing becomes a review task instead of a monthly reconstruction project.
Setup begins with the things that are painful to change later. Chart of accounts structured for the reports you actually need, tax rates and GST treatments, place of supply defaults, HSN and SAC codes on every item, multiple GSTINs where you operate across states, and reporting tags to track cost centres, branches or projects. Getting this right in week one avoids a cleanup exercise in month nine.
On compliance, Zoho is a GST Suvidha Provider, so returns push from Books to the GSTN without a separate utility. e-Invoicing is mandatory in India for businesses above ₹5 crore in annual turnover, and Books generates the IRN and QR code directly from the invoice. e-Way bills for consignments above ₹50,000 are raised from the same record. Reverse charge, TDS sections such as 194C, 194J and 194Q, and TCS under 206C(1H) are all configurable rather than manual.
Day to day, the win is automation. Bank feeds pull transactions in automatically and rules categorise the recurring ones, so reconciliation becomes a short weekly review. Recurring invoices go out on schedule. Payment links through Razorpay, PayPal or Stripe let customers pay from the invoice email. Automated reminders chase overdue receivables on a cadence you set, which typically does more for cash flow than any other single change.
Books rarely stands alone. Zoho Inventory handles stock, warehouses and order fulfilment. Zoho Expense captures employee claims with policy checks and mileage. Zoho Payroll covers EPF, ESI, professional tax and TDS on salary for Indian entities. Zoho Billing manages subscriptions and dunning. The process
Compliance and structure review
We review your entity structure, GSTINs, turnover threshold, TDS and TCS obligations and current filing process to define exactly what Books must handle.
Configure and connect
Chart of accounts, taxes, templates, bank feeds, payment gateways and the IRP connection are set up, then tested with sample transactions across tax scenarios.
Migrate balances and masters
Opening balances, customers, vendors, items and open invoices are imported as of an agreed cutover date, then reconciled against your existing trial balance.
Parallel run and handover
One full month runs in both systems so the numbers can be compared line by line. Once they agree, we train the finance team and your CA, then retire the old process.
Questions about Zoho Books & Finance
Does Zoho Books file GST returns for us?
Books prepares GSTR-1 and GSTR-3B from your transaction data and, as Zoho is an authorised GST Suvidha Provider, can push them to the GSTN. A human still reviews and authorises the filing. Books removes the data assembly work, not the professional judgement your accountant applies.
We use Tally. Do we have to abandon it?
Not immediately. A common arrangement is Books as the operational system for invoicing, GST and receivables, with a periodic export to Tally for statutory finalisation. Most clients retire the duplicate within two or three quarters once the finance team and the CA trust the Books numbers.
Can Books handle multiple states and GSTINs?
Yes, on the editions that support branch accounting. Each branch gets its own GSTIN, address and document series, and place of supply logic determines whether IGST or CGST plus SGST applies. Multi-entity setups with separate PANs usually need separate Books organisations rather than branches.
What about inventory and manufacturing?
Zoho Inventory covers stock, multiple warehouses, batch and serial tracking, purchase orders and shipping integrations, and it links directly to Books. Composite items handle light assembly. For genuine production planning with routings and work orders, Zoho is a stretch and we will tell you so.
