Zoho

Zoho gives you more than fifty business applications for the price most vendors charge for one. The catch is that none of it configures itself. We design, build, migrate and roll out Zoho as a single connected system, then train your team to run it without us.

Zoho ships over fifty applications under one licence, and that breadth is exactly why most Zoho projects stall. A company switches on eight apps in a week, nobody agrees on where the customer record lives, and six months later there are eight new silos instead of one system. We start from the process, not the app list, and sequence the rollout so each phase pays for itself.

For Indian SMBs the commercial case is genuinely strong. Zoho One is licensed per employee rather than per seat per app, and the India data centre keeps your data domestic if that matters to your compliance team. Zoho Books handles GST natively instead of bolting it on. Against a Salesforce plus HubSpot plus separate accounting stack, the annual difference is usually large enough to fund the implementation twice over.

We are honest about the trade. Zoho has fewer opinions baked in than the expensive alternatives, and some edge cases need Deluge scripting where a competitor would offer a switch. API credits are finite. Certain features only appear on Enterprise editions. Knowing those boundaries before you commit is most of the value we add in the first two weeks.

Everything we build is documented and handed over. Deluge functions carry comments. Workflow rules and blueprints get names a new admin can follow. Your team receives an admin guide, recorded walkthroughs and a support window after go live, so the system stays maintainable when your operations change.

Outcomes

What changes for your business

One customer record

Sales, billing and support read from the same account. No more chasing three systems to answer one question from a customer on the phone.

Manual re-entry removed

Quote to sales order to invoice flows without retyping. Field staff capture data once, on mobile, and finance sees it the same day.

GST handled inside the system

Correct place of supply, HSN and SAC codes, e-invoicing and e-way bills generated from Books rather than reconstructed at filing time.

Reporting leadership opens

Zoho Analytics blends CRM, Books and Desk data into dashboards that answer real questions about pipeline, margin and service load.

Lower software spend

Consolidating CRM, accounting, helpdesk, HR and project tools onto one licence usually cuts total SaaS cost significantly for teams under 200 people.

A team that uses it

Adoption is a design problem. Simple layouts, sensible required fields and short role-based training beat a feature-complete system nobody logs into.

Our process

How we run a Zoho engagement

1

Discovery and process mapping

We sit with sales, finance and operations, map how work actually moves today, and mark every point where data is retyped, lost or argued about. That map drives the build.

2

Solution design and licensing

We decide which Zoho apps and editions you need, model Zoho One against per-app pricing for your headcount, and produce a written design covering modules, fields, roles and integrations.

3

Build and configure

Layouts, validation rules, blueprints, workflows, Deluge functions, templates and dashboards get built in a sandbox or staged org. You review working screens, not slide decks.

4

Data migration and UAT

We clean and map legacy data from spreadsheets, Tally or an old CRM, run a trial import, then hand the system to your key users for structured testing against real scenarios.

5

Go live, training and support

Cutover happens on a fixed date with a rollback plan. Role-based training, an admin handbook and a hypercare window follow, then we move to a monthly support arrangement if you want one.

FAQ

Questions about Zoho

How long does a Zoho implementation take?

A focused CRM rollout for one sales team is typically three to five weeks. Zoho Books with GST and migration from Tally adds another three to four. A full Zoho One programme across sales, finance, support and HR usually runs three to six months, phased so something useful goes live every few weeks rather than everything at the end.

Is Zoho really cheaper than Salesforce or HubSpot?

For most teams under a few hundred users, yes, and by a wide margin, because Zoho One prices per employee across the whole suite instead of per seat per product. The honest caveat is that Salesforce has a deeper partner ecosystem and more prebuilt industry solutions. If you need heavy vertical functionality, compare properly before switching.

Can we keep Tally and still use Zoho Books?

Many clients do, at least for a transition period. Books becomes the operational system for invoicing, receivables and GST, and a periodic sync or export keeps your CA working in Tally. We usually recommend running both for one or two quarters, then retiring the duplicate once the team trusts the new numbers.

Where is our data stored?

Zoho operates data centres in India, the EU, the US, Australia, Japan, Canada and elsewhere. Indian customers are normally provisioned on the India data centre. The choice is made when the account is created and cannot be changed casually later, so we confirm it before any data is loaded.

Do we need a developer to maintain it?

For day to day changes, no. Layouts, fields, workflow rules and reports are point and click, and we train an internal admin to handle them. Deluge scripting, API integrations and Creator applications do need someone technical, which is where an ongoing support retainer usually makes sense.

What happens to our existing data?

We export it, clean it, deduplicate it and map it to the new structure before anything is imported. You approve a sample load first. Legacy files are retained so nothing is destroyed, and the original system stays readable until you are satisfied the migration is complete.

Will you work with our existing Zoho setup?

Yes. A large share of our work is repair rather than greenfield builds. We audit the current org, document what exists, list what is broken or unused, and give you a prioritised fix plan. Sometimes the right answer is a clean rebuild, and we say so when that is the case.
