Workflow Automation

Automation in HubSpot is easy to start and easy to get wrong. Bad enrolment triggers send the same email three times. We design workflow logic that is precise about who enters, what happens, and when it stops.

Every workflow starts with one question: what exactly enrols a record, and can it enrol twice? Enrolment triggers can be property values, form submissions, list membership, page views, email engagement, ad interactions or an event from an integration. Re-enrolment is off by default for good reason. We turn it on deliberately, per trigger, and add suppression lists so a customer never receives a nurture email meant for a cold lead.

Beyond emails, workflows do the operational work nobody wants to do manually. Rotate a new lead to the right owner based on territory, product interest and seat availability. Create a task with a due date when a deal sits untouched for ten days. Set lifecycle stage when a deal is created. Copy a value from a company property down to its associated contacts. Format a messy job title into title case. Notify a manager when a large deal moves to Negotiation.

Lead scoring deserves its own mention because most implementations of it are useless. A score built on email opens tells you nothing. We build scoring on fit and intent separately: firmographic fit from company size, industry and region, and behavioural intent from pricing page visits, demo requests and repeat sessions. Scores decay when activity stops. Thresholds are agreed with sales, then reviewed after a month against actual outcomes.

On Operations Hub Professional and above, we use custom coded actions and webhooks for the things standard actions cannot do: calling an external API mid workflow, transforming data with JavaScript or Python, or writing back to another system. We also keep the distinction clear between workflows, which are one to many and marketing owned, and sequences, which are one to one and sent from a rep inbox.

Each new automation is written out as trigger, conditions, actions, exit criteria and suppression before it is built. Sales and marketing sign off on the rules, especially rotation and scoring.

Workflows are built and run against a small set of test records first. We check branch paths, timing, property writes and email rendering before enrolling anything real.

Questions about Workflow Automation

What is the difference between a workflow and a sequence?

A workflow is automation owned by the portal. It runs on many records, sends marketing email and can update properties, create tasks and call other systems. A sequence is one to one, sent from an individual rep inbox, and stops when the contact replies or books a meeting. Using a workflow for cold personal outreach is a common and costly mistake.

Do workflows need Marketing Hub Professional?

Workflows come with Professional or Enterprise on Marketing, Sales, Service or Operations Hub. Which hub you have affects which workflow types are available: contact based workflows come with Marketing, while deal, ticket and quote based workflows need the relevant hub. We confirm what your seats actually allow before designing anything.

How do we avoid over automating?

By keeping a rule that every automation must have a named owner and a stated purpose. If nobody can explain why a workflow exists, it gets turned off. We also cap the number of emails a contact can receive in a period and use global suppression lists so automation cannot pile up on the same person.

Can workflows update records in our other systems?

Yes, through webhooks or custom coded actions on Operations Hub Professional and above, or through an integration app that maintains a sync. Whether it should is a separate question. Two way sync between systems that both allow edits creates conflicts, so we usually make one system the source of truth per field.
