Email & Lifecycle

Email still returns more per rupee than any other owned channel, but only when it lands and only when the message matches the stage the person is at. This service covers the full lifecycle programme, from welcome to sunset, plus the technical setup that protects your sending reputation.

Lifecycle work starts with definitions. Subscriber, lead, qualified lead, customer, repeat customer, dormant. Each stage gets one owner, one entry condition, and one exit condition, written down and applied in every tool. Without that, the same person sits on three lists, receives three offers in one morning, and your reporting shows growth that is really duplication.

The core programme is usually six flows: welcome, onboarding, browse or content abandonment, post purchase or post signup, renewal or replenishment, and win back. Welcome earns the most attention it will ever get, so the first email arrives within minutes and sets expectations on frequency. Post purchase flows carry the review request, the useful support content, and the sensible cross sell.

Deliverability is engineering, not luck. SPF, DKIM, and a DMARC policy are published and verified before launch, with alignment checked properly. New domains and IPs are warmed across two to four weeks, starting with the most engaged contacts and stepping volume up daily. Google Postmaster Tools and Microsoft SNDS report the spam rate and domain reputation your sending platform will never show you.

List hygiene runs on a schedule. Hard bounces are removed on first failure, role addresses such as info and sales are filtered at the form, and typo domains are corrected before they cost a bounce. A sunset policy sets when a contact who has not opened in ninety, one hundred and eighty, or three hundred and sixty five days stops receiving campaigns. Smaller engaged lists beat larger silent ones.

What's included

Everything in Email & Lifecycle

Lifecycle stage model

Written definitions for every stage, the conditions that move a contact between them, and that mapping applied across your email tool and CRM.

Authentication setup

SPF, DKIM, and DMARC records published and verified, with alignment testing and a reporting address so authentication failures are actually visible.

Domain warmup plan

A staged volume schedule across two to four weeks, sending to your most engaged segments first, with daily reputation checks throughout.

Core flow build

Welcome, onboarding, abandonment, post purchase, renewal, and win back flows built with timing, branching, and suppression rules already in place.

Template system

A responsive master template with modular blocks, dark mode handling, accessible contrast, alt text, and a plain text version generated for every send.

List hygiene routine

Bounce handling, role address filtering, duplicate merging, and a documented cleaning cadence your team can run each month without us.

Sunset and re-permission policy

Engagement thresholds that decide when a contact is paused, given one final choice to stay, and then removed from active sending.

Deliverability monitoring

Postmaster and seed inbox checks, placement reporting by provider, and an alert path for sudden complaint or bounce spikes.

How it works

The process

1

Technical audit

We check DNS records, current sender reputation, bounce and complaint history, list sources, and whether past sending has already damaged the domain. Findings arrive with a fix order.

2

Lifecycle mapping

Stages, flows, and offers are mapped against the real customer journey, including the gaps where a contact currently receives nothing at all for weeks at a time.

3

Build and warm

Templates and flows are built while the sending domain warms on a controlled volume schedule. Seed testing covers Gmail, Outlook, Yahoo, and the common Indian mail hosts.

4

Run and refine

Weekly review of placement, engagement by segment, and flow revenue. Cadence, timing, and copy are adjusted, and a hygiene pass runs at the start of every month.

FAQ

Questions about Email & Lifecycle

Why did our open rates suddenly drop?

Usually one of four causes: a reputation hit from a bad list import, a DNS change that broke DKIM alignment, a complaint spike after an unexpected send, or Apple Mail Privacy Protection distorting the metric itself. We check Postmaster data alongside recent send history to work out which one applies.

Do we need a separate sending domain?

For bulk marketing, yes. A subdomain such as mail.yourbrand.com keeps campaign reputation apart from the domain your invoices and sales replies use. If marketing sending ever goes wrong, your business email keeps working. Transactional messages deserve their own subdomain for the same reason.

Is it worth deleting contacts we paid to acquire?

If they have ignored a year of email, they cost more than they return. Every send to a dead address drags placement for the contacts who do want to hear from you. A re-permission email gives them one clear chance before removal, which is fairer to both sides.

How often should we email?

Start where engagement holds. Ecommerce lists often tolerate two to four campaigns a week, B2B usually one every week or two plus flows. Watch unsubscribe and complaint rate by segment rather than one list wide average, since your most engaged group absorbs far more than your quiet one.
