Native integrations cover the common ground and are worth using first because they are stable and cheap on maintenance. Gmail and Outlook sync email against items. Slack and Teams post updates into channels and let people create items without leaving chat. Google Drive, Dropbox and OneDrive attach files. Jira syncs issue status both ways. Each integration action counts against your plan allowance, so we set them up selectively rather than switching on everything.
When native recipes are not enough, we move to Make or Zapier for orchestration, or straight to the Monday.com GraphQL API. The API handles bulk operations, complex field mapping, conditional branching and lookups against external systems. It uses a complexity budget rather than a simple request count, so poorly written queries hit limits quickly. We write efficient queries, batch mutations, and handle retries so integrations do not fail silently.
The apps framework opens up what the platform cannot do natively. You can build board views, item view tabs, dashboard widgets, custom integration recipes and automation actions, and host the code on monday code or your own infrastructure. We use this for things like a custom pricing calculator on the item view, a specialised reporting widget, or an integration recipe with an Indian payment gateway or logistics provider.
Marketplace apps solve a surprising amount before anything custom is needed. Document generation, advanced dashboards, dedupe tools, e signature and time reporting are all covered by established apps. We evaluate those first, because a paid app maintained by its developer beats bespoke code you have to maintain yourself. Custom development gets recommended only when nothing existing fits and the process is core to your business.

Build and test with real data
Configure each connection in a staging workspace and test with genuine records including awkward cases like special characters, empty fields and duplicate matches.

Go live one integration at a time, add failure alerts so broken syncs are noticed immediately, and review action consumption after the first full month.
Questions about Integrations & Apps
Do integrations use up our automation limit?
Yes. Monday.com counts integration actions against the same monthly allowance as automations, and a chatty integration on a busy board can consume a large share of it. We estimate expected volume during design, add conditions so syncs fire only when they need to, and monitor consumption after go live.
Should we use Make, Zapier or the API directly?
Make usually gives the best value for complex multi step flows and handles branching well. Zapier is simpler for straightforward one to one connections. Direct API work suits high volume, bulk operations or anything needing custom logic and no per task fee. We pick based on volume, complexity and who will maintain it.
How much does a custom Monday.com app cost?
It depends entirely on scope. A single dashboard widget or simple item view app is a small build. A full integration recipe with external authentication, error handling and hosting is considerably more. We always check marketplace apps first, because buying an existing maintained app is almost always cheaper than building and supporting your own.
What happens if an integration breaks?
Most breakages come from expired credentials, renamed columns or changes at the other end. We build alerting so failures notify a named person rather than sitting unnoticed, and document each connection so it can be diagnosed quickly. Retainer clients get integration monitoring and fixes included.
