Pipedrive is a sales CRM, not a marketing suite, and that is exactly why it works for teams that live in the pipeline. We design the data model, build the pipelines and automations, move your history across cleanly, and get reps using it inside a fortnight. This is for sales teams of roughly two to fifty people who want fewer tabs and a forecast they can defend.
Pipedrive models sales with four linked records: deals, persons, organisations and activities. Almost everything else in the product hangs off those four. Set the relationships up correctly on day one and your reporting stays simple for years. Set them up badly, for example by tracking accounts as persons or logging renewals as brand new organisations, and every report afterwards needs a manual export to make sense.
The philosophy behind the tool is activity-based selling. The idea is simple: you cannot control whether a deal closes, but you can control whether the next call, demo or follow-up is scheduled. Pipedrive is built to nag you about that. Our builds lean into it, so every open deal carries a next activity and the manager view is filtered to show the ones that do not.
We are honest about fit. Pipedrive beats HubSpot and Salesforce when the job is a sales team pushing deals through stages, and it beats them on cost per seat and on how quickly a new rep becomes productive. It is a weaker choice when you need heavy marketing automation and lifecycle nurture, native ticketing and service desks, complex quote configuration, or genuinely custom objects and multi-level account hierarchies.
Implementation is where most Pipedrive projects go wrong, not the software. Teams sign up, import a spreadsheet, invent fifty custom fields and abandon the tool within a quarter. We work the other way round: map how the team actually sells, build the smallest structure that supports it, migrate clean data, then add automation once people are already in the habit of using it daily.

Data model and pipeline design
We define objects, custom fields, pipelines, stages and exit criteria on paper first. Sign-off happens on a document, before anyone touches configuration inside the account.
Build and configure
Fields, pipelines, activity types, views, permission sets, visibility groups, email and calendar sync, automations and dashboards get built in the account and tested with sample records.
Migrate and validate
We import organisations, persons, deals, activities and notes in the right order, keep the links intact, then reconcile record counts and values against the source system.
Train, launch and tune
Role-based training for reps and managers, a written admin handbook, then two to four weeks of close support while we adjust stages, fields and automations against real usage.
Questions about Pipedrive
How long does a Pipedrive implementation take?
A single pipeline setup for a small team, with a clean spreadsheet import, usually takes two to three weeks. A multi-pipeline build with a migration from another CRM, automations, dashboards and add-ons runs four to eight weeks. The variable is rarely the software. It is how quickly your team can agree on what a qualified deal means.
Should we pick Pipedrive over HubSpot or Salesforce?
Pick Pipedrive if your priority is a sales team working deals, you want low cost per seat, and you want people productive in days. Pick HubSpot if marketing automation, lifecycle nurture and content are central. Pick Salesforce if you need custom objects, territory management, CPQ, partner portals or heavy governance. We will say so if Pipedrive is the wrong tool for you.
What does this cost?
Two separate costs. Pipedrive licences are billed per seat per month directly by Pipedrive, and the price depends on plan tier and whether you pay monthly or annually. Our implementation work is a fixed project fee, typically from around ₹60,000 for a focused single-pipeline build up to ₹3,00,000 and above for multi-team migrations with custom integrations.
Can you migrate our data from another CRM or from spreadsheets?
Yes. We have moved data in from Zoho, HubSpot, Salesforce, Freshsales, Excel and Google Sheets. The work is mostly in deduplication and mapping, not the upload itself. We run a small test import first, check the linking between organisations, persons and deals, then run the full load once you approve the sample.
Will our reps actually use it?
They use it when it saves them time and when their manager runs the weekly review inside it. We design for that: short forms, few required fields, mobile-friendly activity logging, and automations that fill in what the system can work out on its own. Adoption is a management decision supported by good configuration, not a feature you can buy.
Do you work with the paid add-ons?
Yes. We configure LeadBooster with web forms, chatbot, live chat and the scheduler, plus Smart Docs for quotes and proposals with e-signature, Projects for post-sale delivery, and Campaigns for basic email sends. We will also tell you when an add-on is not worth the monthly cost for your volume.
What happens after go-live?
You get an admin handbook, recorded training and a defined support window, usually thirty days, for fixes and small changes. After that most clients move to a monthly retainer for new fields, new automations, reporting changes and training for new joiners. You are free to run it in-house instead, and the handbook is written so you can.
