Migration is where most Monday.com rollouts quietly fail. Data goes in dirty, connected records do not link, permissions are wrong, and within a month people are back in Excel. We handle the account foundation and the migration together, because clean structure and clean data only work as a pair.
Foundation comes before data. That means workspaces split by function rather than by person, folders that group related boards, a naming convention applied consistently, and a permission model decided in advance. Board permissions in Monday.com run from main to shareable to private, with separate view and edit settings, and higher plans add column level and content directory controls. Getting this right at the start avoids an awkward reorganisation later.
Import order is the part people miss. Boards that other boards connect to must exist first, because a connect boards column matches on item name. So accounts load before contacts, contacts before deals, projects before tasks. We prepare the source data in a spreadsheet, standardise names exactly, clean status values to match the labels on the board, fix date formats, and remove duplicates before a single row is uploaded.
Some things do not migrate, and we say so upfront. Original creation dates, comment history, activity logs and file version history usually cannot be preserved exactly. Where history matters, we import it into a text or long text column as a record, or keep the old system in read only mode for a defined period. Pretending everything transfers cleanly is how migrations lose people trust.
Once data is in, we lock the standard down. Board templates for every recurring board type, a documented naming convention, an archiving rule so completed work leaves active boards, and an admin guide covering user provisioning, guest access and workspace ownership. The process
Audit the source data
Export everything from the current system, assess quality, and produce a field mapping document showing which source field lands in which Monday.com column and type.
Build the target structure
Create workspaces, folders, boards, column schemas and permissions in a staging environment, then confirm the structure supports every field in the mapping.
Clean and test import
Standardise the data, then run a sample import of fifty to a hundred records. Check connected columns, mirrors, formulas and permissions before touching the full set.
Full load and cutover
Import everything in dependency order, verify counts and relationships against the source, set a freeze date on the old system, and switch the team over with training.

What can you migrate from?
Anything that exports to CSV or Excel, which covers most systems. We regularly migrate from Google Sheets, Excel, Trello, Asana, ClickUp, Notion, Salesforce, HubSpot, Zoho and internal databases. Where an API is available we use it for larger or ongoing loads. The source system matters less than how clean the export is.
Will we lose our comment and activity history?
Usually some of it. Monday.com item updates and activity logs cannot be recreated with original timestamps and authors through import. Where history matters, we bring key notes into a long text column with dates in the text, or keep the previous system available read only for a set period. We agree this before starting.
How long does a migration take?
A single spreadsheet with a few hundred rows takes a couple of days including cleaning. A multi board migration with connected records, thousands of items and a legacy CRM runs two to four weeks. Data cleaning consistently takes longer than the import itself, and that is the part worth spending time on.
What happens if data comes in wrong?
We import into a staging workspace first, so mistakes never touch a live board. If something is wrong we correct the source file and reload rather than patching row by row. The sample import step exists precisely to catch mapping errors before they multiply across thousands of records.
