Sales Pipeline System

A pipeline is only useful if every deal in it means the same thing to everyone reading the board. We define stages with hard exit criteria, build the forecast maths into formula columns, and add the automations that keep the board current. Managers get a forecast they can present. Reps get a board that tells them what to do next.

Stage definition comes first and takes the longest. Most pipelines fail because "qualified" means something different to each rep, so deals sit in the wrong stage and the forecast drifts. We write an exit criterion for every stage, something observable like budget confirmed or proposal sent, and set default probabilities against each. The stage list stays short, typically five to seven, because more stages produce worse data.

The board then does arithmetic instead of your team. A formula column multiplies deal value by stage probability for weighted forecast. Another calculates deal age from creation date. An automation stamps a date column each time the stage changes, which gives you days in stage and exposes where deals actually stall. Mirror columns pull account tier or region across from the accounts board so you can slice the pipeline without duplicate fields.

Views make the same board work for different people. Kanban grouped by stage for reps working their week, table view with filters for pipeline review, calendar for expected close dates, and chart view for trend. Saved views per owner mean nobody scrolls through the whole board. A weekly pipeline review view filtered to deals closing this quarter turns the meeting into fifteen minutes instead of an hour.

Dashboards sit on top and pull across boards. Questions about Sales Pipeline System

How many pipeline stages should we have?

Five to seven for most businesses. Fewer than five and you lose useful signal about where deals stall. More than seven and reps guess, which corrupts the forecast. If you sell several products with genuinely different cycles, separate boards or separate groups usually work better than one long stage list.

Can we forecast in multiple currencies?

Yes, with a currency field and a formula column converting to a base currency at a rate you maintain, or via an integration that pulls live rates. Monday.com does not handle multi currency natively the way a dedicated finance system does, so we keep the conversion logic explicit and easy to update.

Does this work for long, multi stakeholder B2B sales?

It suits them well. Contacts connect to the deal so you can track each stakeholder and their role, subitems handle the individual steps within a stage, and days in stage tracking is especially valuable on cycles running six months or more. Very complex enterprise sales sometimes need custom apps on top.

What if reps just do not update the board?

Then the forecast is fiction, and no configuration fixes that alone. What helps is reducing required fields to the minimum, making the board genuinely useful to reps through follow up reminders and clear next steps, and running the pipeline review only from the board. If it is not on the board, it does not get discussed.
