Most failed CRM projects are configuration failures, not software failures. We design the Pipedrive account structure before touching a single setting, then build it so the data stays clean and the reporting works from the first week. You get a working system, documentation and a team that knows how to use it.

Pipedrive gives you four core records to work with: deals, persons, organisations and activities, with leads sitting in a separate inbox before they get promoted. The first decision is which of your real world things map to which record. A distributor is an organisation, a purchase manager is a person, an annual contract renewal is a deal. Confuse those and every future report needs manual correction.

We keep the custom field list short and deliberate. Each field has to answer a question you will genuinely filter or report on, like lead source, deal type, region or expected start month. Field type matters as much as the label. Single and multiple option fields group cleanly in Insights, free text never does, and monetary fields carry currency where plain numerical fields quietly do not.

Then comes the human layer: who sees what. We set up users, permission sets that control whether a rep can delete records or export data, and visibility groups so that regional teams see their own deals without seeing each other. Email sync, calendar sync and caller settings get configured per user, and important fields are pinned to the top of the deal detail view.

One honest limitation to plan around. Pipedrive does not give you a sandbox on standard plans, so there is no risk-free copy of production to experiment in. We build in a separate trial account or a walled-off pipeline, test with sample records, and only then apply the structure to the live account. That discipline avoids the classic mess of half-built fields sitting in production.

Questions about CRM Implementation

How many custom fields should we create?

Fewer than you think. A typical healthy build has ten to twenty custom fields across deals, persons and organisations. If a field will not be used in a filter, a report or an automation, it is a note, not a field. Long forms are the most reliable way to kill rep adoption.

Can we start on a lower Pipedrive plan and upgrade later?

Yes, and often you should. Start on a plan that covers your core needs, then upgrade when you actually hit the limit, usually for automation volume, permission sets, required fields or advanced Insights. We design the build so an upgrade adds capability rather than forcing a rebuild.

Do you configure the mobile app too?

Yes. Field sales teams live in the mobile app, so we set up the deal card layout, activity types, call logging and nearby search, and we test the actual flow a rep uses after a site visit. If mobile logging is painful, the desktop data goes stale.

What if our sales process changes in six months?

Pipedrive handles change well. Stages can be renamed and reordered, fields added, and deals moved between pipelines in bulk. The parts that are expensive to change later are the core object decisions, which is exactly why we spend the first week on the blueprint rather than on configuration.
