Performance Dashboards

Pipedrive Insights can answer most sales questions if the underlying fields are structured properly. We build role-specific dashboards for reps, managers and leadership, set goals against them, and are clear about where Insights stops and a proper BI tool should take over.

Insights supports several report types, including deals, activities, revenue, email and leads, each with its own filters, grouping and chart options. The useful skill is choosing the right one. Pipeline health is a deal report grouped by stage. Rep effort is an activity report by owner and type. Revenue forecast is a revenue report by expected close date. Mixing those questions into one chart produces something nobody can act on.

We build a separate dashboard per audience. A rep dashboard shows their own open pipeline, activities due, deals with no next step and progress to quota. A manager dashboard shows conversion by stage, average cycle length, rot counts and win rate by rep. A leadership dashboard shows the weighted forecast, revenue trend and win rate by source or product. Nobody scrolls past what they need.

Goals turn numbers into targets. Pipedrive supports goals on deals added, deals won, revenue and activity volume, set per user, per team, per pipeline and per interval. Goals work when they are set on things a rep controls. Activity and pipeline creation goals drive behaviour reliably. A revenue goal alone tells you the outcome long after the chance to change it has passed.

The honest limit: Insights is a solid operational reporting layer, not a data warehouse. It does not blend Pipedrive data with your ad spend, invoicing or product usage, and complex multi-source attribution is beyond it. When you need that, we export via the API into BigQuery or a database and build the reporting in Looker Studio or Power BI, while keeping the daily operating dashboards inside Pipedrive.

What's included

Everything in Performance Dashboards

Reporting requirements session

We define the specific decisions each dashboard needs to support, per role, before building anything. A chart nobody acts on is clutter, not reporting.

Rep dashboard

A personal view covering open pipeline, activities due today and this week, deals with no scheduled next step, and progress against individual targets.

Sales manager dashboard

Stage-by-stage conversion, average deal cycle, rotting deal counts, win rate by rep and activity volume, built for the weekly pipeline review.

Leadership dashboard

Weighted and unweighted forecast, revenue trend against prior periods, win rate by source and product, and loss reason breakdown for the management meeting.

Forecast configuration

Revenue reporting set up against expected close dates and stage probabilities, including recurring revenue where you use subscription style deals.

Goals setup

Goals defined per user, team and pipeline across activity, deals added, deals won and revenue, with intervals that match how you actually run the business.

Data quality checks

Saved filters that expose the records breaking your reports, such as deals with no value, no expected close date or a missing source, so the numbers stay trustworthy.

Dashboard sharing and scheduling

Dashboards shared with the right people or published to a link, plus a documented routine for reviewing them so reporting becomes a habit rather than a screenshot.

How it works

The process

1

Define the questions

We list the decisions each role makes weekly and monthly, then work backwards to the smallest set of charts that genuinely informs those decisions.

2

Fix the inputs

Reports depend on structured fields, so we check that source, deal type, value, expected close date and loss reason are populated consistently, and fix the gaps first.

3

Build dashboards

Reports are built and grouped into role-based dashboards, with filters and date ranges set so each view answers on load without anyone reconfiguring it.

4

Embed in the routine

We run the first weekly review and monthly review using the dashboards, then adjust anything that turned out to be unclear, unused or misleading in practice.

FAQ

Questions about Performance Dashboards

Can Insights report on our custom fields?

Yes, on higher plans you can filter and group by custom fields, which is exactly why field type discipline matters. Single option fields group cleanly into categories. Free text fields produce a chart with one bar per unique typo. We design the field structure with reporting in mind from the start.

How accurate is the Pipedrive forecast?

As accurate as your inputs. The weighted forecast multiplies deal value by stage probability, so it is only meaningful when expected close dates are maintained and probabilities reflect real conversion history. We set those from your own data and rebuild them once you have a few more quarters of evidence.

Do we still need Looker Studio or Power BI?

Only if you need to blend Pipedrive with other sources such as ad spend, invoicing or product usage, or if you want long-term historical snapshots. For pipeline, activity and revenue reporting on CRM data alone, Insights is enough and has the advantage of living where your team already works.

Can reps see how other reps are performing?

That is your choice, controlled through visibility groups and dashboard sharing. Some teams publish a shared leaderboard deliberately. Others restrict each rep to their own figures and keep comparison in the manager view. We configure whichever you pick and make the boundary explicit during training.
