Marketing Automation

Marketing automation is the plumbing between a lead raising a hand and a salesperson picking up the phone. We design the flows, the scoring, the segments, and the reporting that make that handoff happen on time and with context. It is built for teams who already get traffic and leads but lose them in the gap.

Most automation problems are not tool problems. A business buys HubSpot, Zoho, or Klaviyo, builds one welcome email, and stops. Six months later the database is full of contacts nobody has spoken to. We start by mapping what happens to a lead today, hour by hour, then rebuild the path so every contact has a defined next step and a defined owner.

Good automation is mostly logic, not copy. Drip sequences run on a fixed clock and suit onboarding or a long consideration cycle. Trigger based flows fire on behaviour: a pricing page visit, a demo no show, a cart left open. We use both, and we write the entry and exit rules first so a contact never sits inside two conflicting sequences at once.

Deliverability decides whether any of it matters. SPF, DKIM, and DMARC records are published and verified before the first send, with alignment tested rather than assumed. New sending domains are warmed over two to four weeks. Hard bounces, role addresses, and long term non openers move to suppression. Sender reputation is monitored in Google Postmaster Tools and Microsoft SNDS, not guessed at.

Measurement holds the system together. UTM naming follows one written convention so campaign reports do not fragment into forty spellings of the same source. Lifecycle stages are defined once and applied in every tool. Each flow reports the same three things: how many contacts entered, how many converted, and what it cost to get there. Numbers reconcile with the CRM or we fix them.

Outcomes

What changes for your business

Faster response to new leads

Enquiries get a relevant first touch in minutes instead of days. Speed to first contact is one of the strongest predictors of whether a lead converts at all.

Sales talks to fewer, better leads

Scoring filters out students, competitors, and window shoppers, so your team spends the day on contacts who match the profile and have shown real intent.

Revenue from the list you already own

Most databases hold more dormant demand than an ad account can buy in a quarter. Lifecycle and re-engagement flows work that list without extra media spend.

Email that reaches the inbox

Authenticated domains, warmed senders, and clean lists keep placement stable, so results reflect your offer rather than a spam folder you cannot see.

Reporting people trust

One naming convention, one definition of a qualified lead, and dashboards that reconcile with the CRM instead of contradicting it every month.

Less manual work every week

Handoffs, task creation, list updates, and follow up reminders run on their own. Your team stops rebuilding the same spreadsheet each Monday morning.

Our process

How we run a Marketing Automation engagement

1

Audit and data review

We map current flows, list health, lifecycle definitions, and CRM fields. Duplicate records, unmapped sources, and dead sequences are documented and quantified before anything new gets built.

2

Blueprint

The target state is designed on paper first: entry triggers, exit rules, the scoring model, core segments, suppression logic, and the exact point where a lead is handed to sales.

3

Build and integrate

Flows, forms, fields, and integrations are built inside your platform. Sending domains are authenticated and warmed, and every path is tested with seed accounts across the major inbox providers.

4

Launch and monitor

Release happens in stages. We watch deliverability, entry volume, and drop off daily for the first three weeks and fix the leaks that only appear under real traffic.

5

Optimise

Monthly reviews on flow performance, split tests sized in advance, scheduled list hygiene passes, and a documented backlog of the next changes worth making, in priority order.

FAQ

Questions about Marketing Automation

Which marketing automation platform do you recommend?

The one your team will actually use. HubSpot suits B2B teams who want CRM and marketing in one place. Zoho gives strong value to Indian businesses already inside that suite. Klaviyo leads for ecommerce. ActiveCampaign and Brevo fit smaller budgets well. We stay platform neutral and choose based on your data, your team, and your budget.

How long before automation shows results?

A first programme takes three to six weeks to build. Early signals such as faster response time and better lead quality appear within the first month. Revenue impact usually reads clearly around the ninety day mark, once enough contacts have moved through a full cycle and there is more than one cohort to compare.

Do we need a large list for this to be worth it?

No, but you need flow. Two thousand contacts with a steady stream of new leads is more workable than a stale list of fifty thousand. If neither exists yet, fix acquisition first. Automation makes an existing demand engine efficient. It does not create demand out of nothing.

What about consent and data protection rules?

We build on consent by default. Opt in at the point of collection, a stored record of when and where consent was given, a working unsubscribe in every message, and deletion honoured across every connected tool. That covers GDPR style expectations and the direction Indian data protection rules are moving. We are not lawyers, so final sign off should come from yours.

Can you work with the flows we already have?

Usually yes. We audit what exists, keep what performs, rebuild what is close, and switch off what duplicates or contradicts something else. Turning everything off and starting again loses history and often kills a flow that was quietly producing revenue nobody had credited to it.

What does an engagement look like commercially?

Most work starts with a fixed scope build phase covering audit, design, and implementation, followed by a monthly retainer for management and optimisation. Cost depends on the number of flows, the integrations involved, and the state of your data. Platform licence fees are separate and paid by you directly to the vendor.

Who owns the accounts and the work?

You do. Everything is built inside your own platform accounts under your billing, and documentation is handed over as we go rather than at the end. If the engagement stops, the flows, segments, and dashboards stay with you and keep running.
