Workflow Automation

Every sales team repeats the same small tasks hundreds of times a month: create the follow-up, update the owner, send the same email, alert the manager. Pipedrive automations do that work reliably. We build the ones that save real time, and deliberately leave alone the ones that should stay human.

The automation builder follows a simple shape: a trigger, optional conditions, then one or more actions. Triggers fire when a deal is added, updated, moved between stages, marked won or lost, or when a person, organisation, activity or lead changes. Conditions filter down to the cases you care about, and actions create records, update fields, send emails or fire webhooks.

The automations that pay for themselves are unglamorous. Create a call activity three days out when a deal enters Proposal Sent. Set the deal owner from the assigned account manager on the organisation. Email a templated introduction the moment a lead is converted. Notify the manager when a deal above a value threshold is marked lost. Each saves a minute, and a minute repeated five hundred times a month is real.

Knowing what not to automate is half the job. Automated emails that pretend to be personal damage trust, and cascading automations that trigger each other create loops nobody can debug six months later. We keep every automation named clearly, documented with its trigger and purpose, and grouped so an internal admin can switch one off without wondering what else breaks.

For anything crossing the boundary of the CRM we use webhooks and integrations. Pipedrive fires webhooks on record changes into your own endpoint, and the REST API handles two-way work with billing, ERP or a custom portal. Where the volume is modest, Zapier or Make is cheaper and faster to maintain than custom code. We pick based on volume, reliability needs and who will maintain it.

What's included

Everything in Workflow Automation

Automation audit and shortlist

We time the repetitive tasks your team does today, then rank candidate automations by minutes saved per month against build and maintenance effort.

Stage-based activity automation

Automatic creation of the right next activity, with sensible due dates, whenever a deal enters a stage. This is what keeps activity-based selling running by itself.

Field and ownership automation

Rules that set owner, deal type, expected close date or region automatically from other data, removing the manual updates reps forget under pressure.

Templated email automation

Email templates with merge fields, sent automatically or queued as one-click sends at defined trigger points, written to read like a person wrote them.

Internal notifications and handoffs

Alerts to managers, pre-sales or delivery when a deal crosses a threshold, is won, or stalls, including handoff checklists created as activities on the record.

Web form and lead routing

LeadBooster web forms or your own site forms feeding the Leads Inbox, with routing rules that assign the right owner and start the first follow-up automatically.

Webhook and API integrations

Connections to billing, ERP, accounting or your product, built with webhooks and the REST API, or through Zapier and Make where that is the sensible choice.

Automation register

A living document listing every automation, its trigger, conditions, actions and owner, so future changes are safe and nothing runs unexplained.

How it works

The process

1

Map the manual work

We shadow the daily routine and list every repeated manual step, from creating follow-ups to copying deal details into a delivery sheet, with rough frequency for each.

2

Prioritise and design

Candidates are ranked by time saved against risk. Each approved automation is written out as trigger, conditions and actions before it gets built.

3

Build and test in isolation

Automations are built and tested against sample deals, watching for loops and double-fires, and switched on one group at a time rather than all at once.

4

Monitor and refine

We watch the automation log for the first weeks, catch the edge cases real data always produces, and tune conditions so nothing fires where it should not.

FAQ

Questions about Workflow Automation

How many automations can we run?

Pipedrive caps the number of active automations per user by plan tier, and higher plans allow considerably more. Most teams need far fewer than they expect. Twelve well-designed automations usually cover the bulk of repetitive work, and a smaller set is easier to debug when something behaves unexpectedly.

Will automated emails hurt our relationships?

They can, if they pretend to be personal. We automate the transactional and logistical messages, such as meeting confirmations, document sends and receipt acknowledgements, and keep genuine sales conversation manual. Anything that needs judgement about a specific buyer stays with a person, sometimes as a one-click draft instead of an auto-send.

Can Pipedrive talk to our billing or ERP system?

Yes, through webhooks and the REST API, or through Zapier or Make for lower volumes. Common builds push won deals into invoicing and pull payment status back onto the deal. We scope this carefully because two-way syncs need clear rules on which system owns which field.

What happens when an automation breaks?

Pipedrive keeps an execution log showing what fired and what failed, which is usually enough to identify the cause. Because every automation we build is documented with its trigger and purpose, your admin can disable one safely while it is being fixed, without guessing what else depends on it.
