HubSpot is not one product. It is a shared CRM database with Marketing, Sales, Service, Content and Operations Hubs sitting on top of it. Every one of those hubs reads from the same contacts, companies, deals and tickets. Get the object model and property structure right first, and everything above it becomes easier. Get it wrong, and no amount of automation will save the reporting.

We work at the data layer before the pretty layer. That means deciding what a company record means when you sell to multi-branch groups, which properties are single-select instead of free text, how lifecycle stages map to your actual funnel, and where deal stages should be gated by required properties. These decisions look small in week one and decide whether your forecast is believable in month nine.

From there we build the moving parts. Workflows that enrol on the right triggers and re-enrol only when you want them to. Lead rotation that respects territories and holidays. Sequences for one to one sales follow up, kept separate from marketing email. HubDB driven pages on Content Hub. Dashboards that answer questions leadership actually asks instead of showing vanity counts.

We also do the unglamorous work: deduplication, property cleanup, retiring the 340 unused fields somebody created in 2021, mapping owners correctly during a migration, and documenting the portal so the next admin is not guessing. FAQ

Questions about HubSpot & CRM

Do we need Professional or Enterprise, or is Free and Starter enough?

Depends on what you need. Free CRM plus Starter covers basic pipelines, forms and email. Workflows need Professional. Custom objects, calculated properties across objects, datasets, teams hierarchy and field level permissions need Enterprise. We audit your requirements first and tell you the cheapest tier that genuinely does the job.

How long does a HubSpot implementation take?

A single hub, one pipeline, clean data and no migration can be live in two to three weeks. A multi hub build with a Salesforce or Zoho migration, custom objects and integrations typically runs six to twelve weeks. The variable is almost never HubSpot. It is how long stakeholder decisions and data cleanup take.

Will we lose data if we move to HubSpot?

Not if the migration is done properly. We export everything from the source system including notes, emails, call logs and attachments, map fields and owners explicitly, run a test import, reconcile record counts, then run the full load. Source data is kept as a frozen export so you can always go back and check.

Can HubSpot connect to our ERP, billing tool or custom app?

Usually yes. There are around 1,700 apps in the HubSpot marketplace covering the common ones. Beyond that we use the CRM API, webhooks, or middleware like Make and Zapier. Operations Hub adds programmable automation and custom coded actions. We scope the integration honestly, including where two way sync is a bad idea.

Our portal is already a mess. Do we start over?

Rarely. Starting over loses history, and history is the part you cannot recreate. We normally clean in place: archive unused properties, merge duplicates, rebuild pipelines alongside the old ones, migrate active records over, then retire the legacy setup. A fresh portal only makes sense if the current one has irreparable data quality problems.

Who owns the portal after the project?

You do, completely. It is your HubSpot account, your data, your workflows. We work as users inside your portal and can be removed at any time. Everything we build is documented in plain language, and we run a handover session with whoever will act as your internal admin.

Can you work with our existing HubSpot admin or agency?

Yes, and it often works well. We can take the architecture and technical build while your team handles day to day campaign work. We agree on naming conventions and change control up front so two sets of hands in the same portal do not undo each other.
